Job Summary
This role provides comprehensive administrative and office management support to the Barbados Branch Office. The Administrator will work closely with the Chief Operating Officer and staff to ensure effective workflow coordination, office functionality, travel, protocol, documentation, and event logistics to help the branch operate efficiently and in alignment with the Bank’s strategic objectives.
Key Responsibilities

Serve as Personal Assistant to the RCOO: manage scheduling, correspondence, travel arrangements, and prepare background materials for meetings.

Coordinate branch workflow and internal/external communications.

Provide documentation support: formatting reports, presentations, and meeting records.

Implement and maintain document management and filing systems.

Prepare branch reports and performance tracking metrics.

Support client relations and business development units with administrative tasks.

Manage branch resource centre and marketing material dissemination.
Office Management Support:

Oversee front desk, guest management, and meeting room operations.

Coordinate internal and external events, including logistics, travel, and accommodation.

Handle courier, mail, and travel logistics, ensuring compliance with Bank policies.

Provide protocol and visa support for branch staff and visitors.

Supervise printing, ID management, and supplies logistics.

Support the Office Manager in budgeting, petty cash, and business continuity planning.
Requirements

Bachelor’s degree in Business Administration, Office Management, or related field.

At least 5 years of relevant experience in administrative or office support, preferably in a corporate or financial institution.

High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Strong communication, organizational, and multitasking skills.

Demonstrated ability to maintain confidentiality and manage high-level administrative support.

Prior experience liaising with government institutions (for visas, permits, or protocol) is a plus.
